How to Capture Headshots During a Conference or Event
Booking an Austin headshot photographer during a conference or corporate event is a simple and effective way to offer professional headshots without disrupting the event schedule.
Headshot sessions are typically booked for a half-day, full-day, or a few dedicated hours during the event. Many clients choose to schedule headshots during lunch breaks, allowing attendees to step away briefly, have their photo taken, and return to the event with minimal downtime.
There are a few proven ways to organize the flow:
First-come, first-served headshots, ideal for open networking-style events
Scheduled sign-up sheets, where attendees are assigned short time slots
Lunch-hour headshot blocks, which tend to be highly efficient and well-attended
Headshots are quick by nature, and I’m able to photograph approximately 30 people per hour—sometimes more—while still guiding each person through flattering, professional posing.
During the session, a designated event or company contact helps track each participant’s name and email as they are photographed. After the event, I deliver a curated gallery to the main client, who can then share the link with attendees. Each individual selects their favorite images for retouching, ensuring everyone is happy with their final headshot.
From shoot day to final delivery, the entire process is streamlined, organized, and designed to fit seamlessly into your event timeline.
